The HRIS Associate is responsible for supporting the Human Resources Information System (HRIS) and ensuring the integrity, accuracy, and security of HR data. This role involves managing data, generating reports, troubleshooting system issues, and assisting end-users. The HRIS Associate collaborates with HR, IT, and other departments to support HR processes and improve the efficiency of HR-related workflows through effective use of the HRIS system.
Key Responsibilities:
1. System Maintenance and Support:
o Maintain HRIS by updating employee data, troubleshooting system issues, and coordinating with the IT team for technical support.
o Ensure system data accuracy, confidentiality, and security.
o Assist with data audits to ensure system integrity.
2. Data Management and Reporting:
o Compile, analyze, and generate reports on HR metrics, such as employee turnover, headcount, and performance evaluations.
o Assist in the development of dashboards and reports for HR leadership.
o Support data requests for internal and external audits and compliance reporting.
3. User Support and Training:
o Provide support and training to HR team members and other end-users on HRIS functions, ensuring efficient use of the system.
o Create and maintain user guides, training materials, and system documentation.
o Respond to HRIS-related inquiries and troubleshoot issues raised by system users.
4. Process Improvement and Documentation:
o Identify and recommend process improvements to optimize HRIS functionality and efficiency.
o Document and update HRIS-related processes, policies, and procedures.
o Support HRIS implementation and upgrades by participating in testing, user acceptance, and troubleshooting.
5. Data Security and Compliance:
o Ensure compliance with data protection laws and company policies related to data privacy.
o Monitor system security settings to protect sensitive HR data.
o Participate in regular system audits to ensure adherence to security standards.
Qualifications:
• Education: Bachelor’s degree in HR, Information Systems, Computer Science, Business Administration, or a related field.
• Experience: 1-2 years of experience in HRIS or HR-related functions, preferably within an ERP environment.
• Technical Skills: Proficiency in HRIS systems (e.g., SAP SuccessFactors, Workday, Oracle, ADP) and strong Microsoft Excel skills (e.g., pivot tables, VLOOKUP).
• Analytical Skills: Strong analytical and problem-solving skills with a high attention to detail.
• Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to work collaboratively with different departments.
• Organizational Skills: Ability to manage multiple priorities, work under pressure, and meet deadlines.
Preferred Skills:
• Familiarity with data visualization tools (e.g., Power BI, Tableau) for reporting.
• Basic understanding of ERP System or other database management tools.
• Basic Knowledge of AI.
