Administrative Support

  1. Provide efficient secretariat and correspondence support to the Board Management Office, routing correspondence by transcribing written briefs and taking initiative in drafting replies to ensure that all communications are dealt with appropriately.
  2. Screen incoming and outgoing mail, emails, draft responses, fax, photocopying the register documents for, filling out forms, redirect correspondence and telephone callers to appropriate sections where required and obtaining additional information where necessary.
  3. Screen and respond to incoming telephone calls and take appropriate action to handle the situation.
  4. Provide a complete secretarial and administrative service to the Board Management Office in order to facilitate processes and allow him to concentrate on activities.

Meeting Management

  1. Manage the diary of the Board Management Office to all key meetings and other meetings internally and externally at the appointed times with all relevant documents needed for the meetings.
  2. Attend minute meetings internally as needed in order to support the effective functioning of decision-making.

Scheduling

  1. Schedule appointments, reservations, and produce itineraries for the Board Management Office so that arrangements are completed timely and cost effectively.

Process Control

  1. Observe confidentiality procedures and track documentation to ensure security and control.

Records Maintenance

  1. Establish and maintain records and filing systems to ensure the efficient storage of all documents and their timely retrieval for decision-making.
  2. Maintain the filing system of all related documentations in order to facilitate future referencing and easy accessibility.

Report Write-ups

  1. Write and edit minutes, reports, documents put forward to the Board Management Office in order to ensure consistency and standardization of formats.
  2. Design general correspondences, memos, charts, tables, graphs, etc. as need be, in order to develop and portray the required output.

Requirements & Qualifications

QUALIFICATIONS, EXPERIENCE, & SKILLS

Minimum Qualifications:

  1. High School Diploma / Diploma in Office Administration or equivalent

Minimum Experience:

  1. 2-3 years of relevant experience

Job-Specific Skills:

  1. Fluent in Arabic and English languages (both verbal and written).
  2. Practical knowledge of using Emails, Windows and some MS Office applications as pertinent to the job, e.g. PowerPoint, Excel.
  3. Good organizational capability
  4. Time Management
